How to make the patient mobile app configuration ready?

The Helix Mobile App (Apex) is a patient-facing mobile application that allows clinics to showcase their branches, doctors, services, offers, and optionally enable appointment requests or bookings.

Before the clinic mobile app can be created and published, specific configurations must be completed in the Helix web application. These configurations define what patients see and how bookings are handled.

This article explains:

  • What the Helix Mobile App (Apex) is

  • What configurations are required in Helix Web application

  • What must be completed before mobile app setup can begin


📲 What Is the Helix Mobile App (Apex)?

The Helix Mobile App is a branded clinic mobile application that allows patients to:

  • View clinic branches

  • Browse doctors and services

  • View offers and memberships

  • Read service descriptions and post-procedure instructions

  • Initiate appointment bookings (based on the selected booking mode)

All mobile app content and behavior is controlled entirely from the Helix web application.


⚙️ Prerequisites Before Starting Mobile App Setup

The following configurations must be completed in Helix Web before the mobile app can be set up.

🏥 1. Show Clinic Branches in the Mobile App

Only branches explicitly enabled will appear in the mobile app.

Steps

  1. Log in to Helix as an Admin

  2. Go to Control Panel → Structure → Branches

  3. Open the branch → click ⋮ (three dots) → Edit

  4. Turn on Show in Apex

  5. Click Submit

  6. Repeat for all branches that should appear in the app

 

🏷️ 2. Configure Branch Details & Social Media

Branch details and social links are displayed in the mobile app.

Steps

  1. Go to Control Panel → System Settings → Branch Settings

  2. Complete Branch Information

  3. Scroll down and add Social Media links

  4. Click Save (bottom-right)

 

👩‍⚕️ 3. Show Medical Providers (Doctors) in the App

Only service providers enabled for Apex will be visible in the mobile app.

Steps

  1. Go to Main Menu → Human Resources → Employee

  2. Open the provider → ⋮ → Edit

  3. In the Profile section, complete:

    • Profile picture (PNG/JPG, 800 × 800)

    • Certificates

    • Experience

    • Biography

  4. Turn on Show in Apex

  5. Click Update

  6. Repeat for each provider to be displayed

 

🧾 4. Publish Medical Services to the Mobile App

Services must be explicitly published to appear in the app.

Steps

  1. Go to Control Panel → EMR Settings → Medical Services

  2. Open the Apex tab

  3. Click Add (top-right)

  4. Select the services to publish

  5. In the Notes section (bottom of the page), add a short service description

  6. Save

📝 Important Notes About Service Display

  • Department & Category drive the app layout
    Services are grouped based on Department and Category. Correct setup ensures a clean app view.

  • Prices are not shown in the service catalog
    Prices do not appear in the listing view.
    It is acceptable to set the service price to 0 for mobile display.

  • Use marketing-friendly service names
    The service name shown in the app can be a marketing title.

  • Direct booking behavior
    If direct booking is enabled, patients will see actual prices during booking.

 

🩺 5. Configure Post-Operative Instructions (Optional)

Post-operative instructions can be displayed to patients through the app.

Steps

  1. Go to Control Panel → EMR Settings → Postop Instructions

  2. Click Add Postop Instructions

  3. Enter a Title

  4. Click + to add Question & Answer items

  5. Add multiple Q&A entries as needed

  6. Click Submit

 

🎁 6. Show Offers in the App

Only enabled offers will be visible in the mobile app.

Steps

  1. Go to Control Panel → Patient Billing → Offers

  2. Open the offer → ⋮ → Edit

  3. Turn on Show in Apex

  4. Click Submit

  5. Repeat for other offers as required

 

🖊️ 7. Add Introductory Text for the Mobile App

Draft a short introductory paragraph describing:

  • Your clinic

  • The purpose of the mobile app

This text appears in the app and should be clear and patient-friendly.

📅 8. Choose Your Mobile App Booking Mode (Mandatory)

You must select one booking mode for the mobile app.

💬 Option A — Redirect to WhatsApp

  • Book Now opens a WhatsApp chat with reception or call center

  • Booking is finalized manually

📝 Option B — Appointment Request Form

  • Book Now opens a short form

  • Submitting the form creates an Appointment Request in Helix (Home Screen)

  • Your team contacts the patient to book the slot

📆 Option C — Direct Calendar Booking

  • Patients see real-time availability

  • Appointments are booked directly into the Helix calendar

Additional Requirements

  1. Configure which services are allowed for self-booking

  2. Activate and configure provider schedules

Once all configurations above are completed, notify the Helix team so the mobile app setup and creation process can begin.
