How to add Lead Statuses?

Lead Statuses define the stages a lead moves through in the CRM pipeline and are displayed as columns in the Kanban board.

🧠 How Lead Statuses Work in Helix

  • The CRM Kanban always contains three fixed columns by design:

    • New

    • Won

    • Lost

  • These three columns cannot be removed

  • All other statuses are fully customizable

  • When you add your own statuses:

    • All existing default statuses (except New, Won, Lost) are removed

    • Your custom statuses become the intermediate stages of the lead journey

This allows each clinic or organization to define a lead flow that matches their real-world process.

Steps

  1. Go to Control Panel → CRM Setup → Statuses

  2. Click + to add a new status

  3. Enter:

    • Status Name

    • Color (used for Kanban visualization)

  4. Click Submit

  5. Repeat to add all required intermediate statuses

The Kanban board will update to reflect the new configuration.

🔁 Important Behavior to Know (Before You Configure)

Fixed Start & End Columns

  • New = Lead entry point

  • Won / Lost = Lead closure

  • These columns are always present and cannot be deleted

What Happens When You Add Custom Statuses

  • All default statuses (except New, Won, Lost) are automatically removed

  • Only your newly added statuses remain between the fixed columns

⚠️ If You Are Already Using Leads

If leads already exist in the system, follow this sequence to avoid disruption:

  1. Move all existing leads into one of the fixed columns:

    • New, or

    • Won, or

    • Lost

  2. Go to Control Panel → CRM Setup → Lead Statuses

  3. Customize and add your new statuses

  4. Return to the Kanban board

  5. Drag leads into the newly created status columns as needed

This ensures no leads are left in removed or undefined stages.

💡 Best Practices

  • Keep status names clear and action-oriented (e.g., Contacted, Follow-up Required)

  • Avoid creating too many intermediate stages to keep the Kanban manageable

  • Use colors consistently to visually represent progress or priority
