How to block a Doctor's calendar

The Block feature in Helix allows you to reserve time when a doctor is unavailable—whether due to leave, OPD closure, surgery, or other personal reasons. 

🧭 Overview

Blocks prevent appointments from being booked during that time and are visually displayed in pink on the Calendar. Calendar blocks are created in the Day View of the Appointments module. They are applied per doctor, with the ability to specify exact times, days, and recurrence patterns. Once a block is added, any matching time slots appear in pink, signaling that they are off-limits for bookings. You can also edit or delete these blocks as needed.

A. Create a New Calendar Block

  1. Go to Bookings → Appointments.

  2. Switch to Day View (Week view doesn’t support block creation).

  3. Hover over the doctor’s name at the top of their calendar column.

  4. Click the 🚫 icon .

  5. In the Blocked Appointments window:

    • Doctor: Auto-filled (change if needed)

    • From Date / To Date: Define the start and end period

    • Start Time / End Time: Choose daily block hours (e.g., 10:00 AM–1:00 PM)

    • Days: Tick the specific weekdays (e.g., Tue, Thu)

    • Reason: Enter a brief description (e.g., Conference, Personal Leave)

  6. Click Submit.

  7. Matching time slots on the Calendar turn pink, preventing bookings.

B. Edit an Existing Block

  1. Hover over the pink block to view its details (who created it, when, etc.).

  2. Click the Edit icon.

  3. Adjust dates, times, days, or the reason.

  4. Click Submit.

  5. A confirmation popup will show the old and new time range → click Confirm to save.

C. Delete an Existing Block

  1. Hover over the pink block.

  2. Click the 🗑️ Delete icon.

  3. Confirm deletion when prompted.

    • ⚠️ Note: This deletes the entire block, not just the visible day.

✅ Pro Tips

  • Use blocks for half-day closures, annual leave, or surgeries to prevent accidental bookings.

  • You can apply a block across multiple days or months using a single entry.

  • Always add a clear reason so staff knows why the time is unavailable.

  • Combine this with proper schedule setup to keep your calendar clean and conflict-free.

  • After adding or editing blocks, use the Refresh 🔁 button to update the view.
