How to add Service Packages?

Service Packages in Helix allow clinics to group multiple medical services into a single package offering. Packages help streamline workflows by enabling front-desk or clinical users to add multiple related services at once to a patient file instead of selecting each service individually.

Control Panel → EMR Settings → Medical Services

Service Packages rely on already-configured individual services.


⚙️ Prerequisites

Before creating a Service Package, ensure that:

  • All individual medical services that will be included in the package are already created

  • Services are correctly mapped to:

    • Department

    • Service Type

    • Tax Group

    • Pricing

Packages do not replace service-level configuration.


➕ How to Create a Service Package

Step 1: Start Package Creation

  1. Go to Control Panel → EMR Settings → Service Packages

  2. Click + Add

Step 2: Enter Package Details

Fill in the following fields:

  • Code

  • Name

  • Expiry

  • Services offered as part of the package

Step 3: Add Services to the Package

When adding services to the package:

  • Only services already configured in Medical Services are selectable

  • Rates and tax are automatically picked from the service configuration

For each added service, the following columns are visible:

  • Name (select from available services list)

  • Quantity

  • Rate

  • Service Charges

  • VAT

  • Total

Editable fields

  • Quantity

  • Total

Other fields are auto populated depending on the service configuration.

Important Configuration Rules

1️⃣ Tracking Multiple Sessions

If the same service is performed multiple times:

  • To track sessions individually
    Add the same service multiple times using + Add
    (Do not increase quantity)

  • If individual tracking is not required
    Use the Quantity field to indicate the number of times the service is included

2️⃣ Managing Package Pricing

  • You can edit the Total field to adjust the offered rate as part of a package

  • Example:

    • Service rate = 100 AED

    • Package offer rate = 80 AED

    • Edit the Total to reflect the discounted value

Viewing the Package Total

  • Click on the Total of the last service

  • Edit the value and click outside the field

  • The package total will be displayed at the bottom

Step 4: Save the Package

Once all required services are added:

  1. Review the configuration

  2. Click Add

The package is now created and available in the system.


Bulk Upload Service Packages (Using Excel)

If you need to create multiple packages, Helix supports bulk upload via an Excel template.

Step 1: Download the Template

  1. Go to Service Packages

  2. Click Download Excel Template

Step 2: Fill in the Template

The Excel template contains the following columns:

  • Package Code

  • Package Name

  • Service Code

  • Service Name

  • Service Quantity

  • Total

Important rules

  • Service Code and Service Name must exactly match the configuration in Medical Services

  • For services belonging to the same package:

    • Repeat the Package Code and Package Name across rows

Step 3: Upload the Template

  1. Click Upload Template

  2. Upload the completed Excel file

Step 4: Review Uploaded Packages

  • Uploaded packages will appear in the UI

  • You can:

    • Open packages

    • Edit quantities or totals if required

⚠️ Important Notes

  • Packages do not create new medical services; they reference existing ones

  • Removing a service from a package does not delete the service itself

  • Package configuration does not impact:

    • Memberships

    • Loyalty programs

    • HR or payroll modules


💡 Tips & Best Practices

  • Use clear, descriptive names for packages so front desk users can identify them easily

  • Avoid adding services from unrelated departments into one package

  • Review package composition periodically to ensure it reflects current clinical workflows

  • Test the package in a dummy patient file before using it live
