How to create Leave Types

Leave Types define how different kinds of staff leave ๐Ÿ—“๏ธ โ€” such as Sick Leave, Annual Leave, or Maternity Leave โ€” are calculated and applied in the system.

Each type includes settings for total days, carry-forward options, and whether the leave is paid or unpaid. This helps clinics manage attendance, payroll, and compliance consistently across branches.

Add a Leave Type

  1. Click + (top-right).

  2. Branches: Select one or more branches (multi-select).

  3. Name: Enter the leave name (e.g., Sick Leave, Annual Leave, Maternity).

  4. Total Days: Set the yearly entitlement.

  5. Carry Forward Options: Toggle as needed for:

    • Maternity Leave

    • Annual Leave

    • Carry Forward (if unused days roll over).

  6. Calculation Basis: Choose how the leave accrues:

    • By Joining Date (individualized accrual)

    • Calendar Year (fixed yearly cycle).

  7. Payment Terms:

    • Click + to add one or more brackets to define a pay structure.

    • For each bracket, specify:

      • Paid: Fully Paid, Half Paid, or Unpaid.

      • Days: The number of days the rule applies to.

      • Repeat + to add additional brackets.

      • Example: First 14 days Fully Paid โ†’ Next 45 Half Paid โ†’ Remaining Unpaid.

  8. Click Submit ๐Ÿ’พ to save.

  • List Columns: Branch, Name, Total Days, Calculation Basis, Payment Terms, Created By.

  • Tools:

    • ๐Ÿ” Search-as-you-type (top-right)

    • ๐Ÿ“„ Export to Excel / ๐Ÿ–จ๏ธ Print PDF (top-left)

    • Pagination (bottom-right)

  • Row Actions (โ€ฆ):

    • Edit โœ๏ธ โ€” update an existing leave type

    • Delete ๐Ÿ—‘๏ธ โ€” remove a leave type

  • Align Total Days, Carry Forward, and Payment Terms with your countryโ€™s labor law and company policy โš–๏ธ.

  • Use Joining Date basis for personalized leave accrual.

  • Use Calendar Year for fixed yearly entitlements.

  • Review settings regularly to ensure compliance with HR updates.
