How to send Bulk Campaigns

Helix CRM lets clinics run bulk campaigns (WhatsApp, Email, SMS) to reach groups of patients or leads. Campaigns can be targeted using filters in Reports, ensuring messages are personalized and relevant.

🌐 Overview

  • Bulk campaigns are ideal for reminders, promotions, or informational announcements.

  • Recipients are selected using patient and service reports.

  • Templates can be fully edited (SMS/Email) or image-swapped (WhatsApp) before sending.

  • WhatsApp campaigns follow Meta send limits.


🧭 Navigation

  1. Go to Reports.

  2. Choose a relevant report (e.g., Billed Services, Patient Database).

  3. Apply filters to select your target audience.

  4. Select recipients → Send via SMS/Email/WhatsApp.


⚙️ How to Run Bulk Campaigns

📊 Step 1: Select the Right Report

  • Billed Services (Breakdown Reports)

    • Invoice lines by service.

    • Filter by doctor, department, service, category, referral, or marketing channel.

  • Patient Database (Other Reports)

    • Unique IDs of all patients.

    • Filter by time period + demographics (gender, nationality, country, etc.).

  • Patient Demographics (CRM Reports)

    • Demographic-based filtering (gender, nationality, etc.).

  • Patient Lifetime Value (CRM Reports)

    • Shows each patient’s total spend.

    • Filter by period + demographics to target high-value patients.


💬 Step 2: Send Messages in Bulk

  1. Select rows from the report.

  2. Click Send SMS/Email/WhatsApp.

  3. Choose a preset template.

  4. Preview and adjust:

    • Email/SMS – fully edit or rebuild the template before sending.

    • WhatsApp – if the template includes an image, you may replace it before sending.

  5. Click Send.

System Behaviours:

  • Helix de-duplicates recipients automatically when sending from Billed Services report.

  • Meta Send Limits:

    • Clinics start with ~1,000 messages per 24h.

    • Limit increases gradually — Meta will notify the clinic, and Helix can update system limits accordingly.

 


📊 Management

  • Segment patients carefully to avoid spamming irrelevant groups.

  • Name and categorize campaign templates in logical folders (Marketing, Promotions, Reminders).


💡 Pro Tips

  • Use Patient Lifetime Value reports to target VIP/high-spending patients.

  • Always preview before sending bulk WhatsApp — images can be swapped if needed.

  • Start with small campaigns to test engagement before scaling up.

  • Avoid over-sending bulk messages to protect patient trust.

  • Use filters + deduplication to reduce message waste.
